Guidelines for New Users of Data at the Western RDC

Before you begin your project there are a few important tasks you must complete. Please review and complete the following:

1. UWO Intake Form: Please complete the intake form, fill it in, and take it with you to the orientation session. You will need to provide contact information for yourself and each co-investigator that will access the RDC. Co-investigators that do not plan to use the RDC do not need to be included on the form and it is possible to add co-investigators at a later date if necessary.

2. Personnel Screening, Consent and Authorization Form: Researchers require personal security clearance to access data in the RDC. Please ensure every team member with plans to access the RDC receives and completes this form. Please bring the completed form(s) to the orientation session.

3. Arrange for an Orientation Session: Once you have completed the UWO Intake Form and the Personnel Screening, Consent, and Authorization Form(s), you are ready to set a date for an orientation session. The orientation session will take approximately 30 minutes to complete, and will cover the topics included in the slide presentation. Please send an e-mail with two dates and times when you and your colleagues can meet to: www.rdc.uwo.ca.

4. Data Confidentiality: Caring for personal and confidential information that has been provided by the Canadian public is a serious responsibility. In an effort to orientate you to the ‘culture of confidentiality’ that has been designed to protect against the unintended disclosure of personal information, please read the following documents that outline the policies and procedures that govern the use of Statistics Canada microdata files:

• A generic copy of the Microdata Research Contract (MRC)
• Researcher’s Guide to Research Data Centres
• A section of the Statistics Act that is relevant to Deemed Employees
• A copy of the Values and Ethics Code for Researchers
• Copy of the Oath of Office and Secrecy

During the orientation session you will be asked to take an oath (or affirmation) of secrecy. A copy of this oath has been provided to you in advance of the orientation session so you know what you are signing. Please review it and determine if you agree to the statements prior to attending the orientation session.
